Accident Reports
If your child is hurt at a session — even something small — the coach records what happened at the time, and you get the written record by email the same day.
The email
When a coach files a report at a session, every parent and guardian linked to that child is emailed it. Not just the main contact — everyone on the child's record.
If the club records an accident later, it can choose not to send the email when you were already told at the time. The report still appears in your portal.
The email tells you plainly what happened, what first aid was given, and what happened next.
You'll get this even if you've turned off other club emails. It isn't marketing — it's a safeguarding record about your child, so there's no unsubscribe on it.
In the portal
Every report is also kept in your portal under Accident Reports, so you can go back to it later — useful if you end up at a GP or A&E days afterwards and need to say exactly what happened.

Each report shows:
- Which child, and which session it happened at
- What happened, in the coach's own words
- What first aid was given, and who looked after them
- What happened next — carried on, sat out, went home early, or taken to hospital
- Whether someone spoke to you at the time
Questions about a report
Message the club through the portal and they'll come back to you. If something in the report looks wrong, say so — an admin can add a dated follow-up note. The original stays as it was written, which is what makes it trustworthy as a record.
Privacy
- You only ever see reports for your own children
- Coaches can see recent accident reports (the last 90 days, read-only) for athletes on the teams they coach, so they know about an injury before the next session. A cover coach who sees all club sessions can see them club-wide. Other parents never see your child's report
- Reports are kept until your child turns 21, because injuries to children can matter long afterwards
- They're included if you ask the club for a copy of your data. They are one of the few things kept even if you ask to be deleted — the law allows this where records may be needed for a legal claim.
