Staff & Certifications
Manage your coaching team and track their certifications. Stay on top of DBS checks, First Aid qualifications, and safeguarding training.
Staff list
Go to Staff in the sidebar. Each staff member shows their name, role, and certification compliance status.
Compliance statuses
- Compliant — All required certifications are current
- Expiring Soon — One or more certifications expire within 30 days
- Expired — Has expired certifications
- No Certificates — No certifications on file
Certificate types
Define what certifications your club requires in Settings → Certificate Types. Common examples:
- DBS Enhanced Check
- First Aid Level 2 / Level 3
- Safeguarding Training
- Coaching Qualifications (Level 1, 2, 3)
- Insurance
Uploading certifications
On a staff member's profile, click Add Certification and upload a photo or PDF of the certificate. The AI extracts:
- Holder name
- Certificate number
- Issuing organisation
- Expiry date
Review the extracted data for accuracy and save. The system then tracks the expiry automatically.
