Tryouts & Skill Evaluation
Tryouts let you assess athletes against your club's skill framework, work out the right level for each one, and place them into teams — all in one flow. Coaches evaluate on a tablet or phone, levels are calculated automatically, and admins handle placement afterwards.
1. Set up your skill framework
Go to Settings → Skill Framework. The framework is organised into:
- Levels — e.g. Level 1, 2, 3…
- Categories within each level — e.g. Tumbling, Jumps, Technique
- Skills within each category
A default framework is provided so you can start straight away. You can rename and reorder skills to match how your club works. For each skill there's a "Required for level progression" toggle:
- Required skills gate a level — an athlete must achieve all of them to complete that level.
- Non-required skills are bonus/advanced — they're tracked but never block progression.
2. Create a tryout session
- Go to Sessions → Create Session
- Set the type to Tryout
- Fill in the title, date, time, venue, and (optionally) a price and capacity
- Save the session
Like tasters, tryout sessions get a public signup link you can share so parents register without an account. You can also invite existing athletes individually — the AI assistant can find and register them for you ("Invite the U12 prospects to Saturday's tryout").
Tryout sessions are open to every coach in your club, not just the team coach — so it's all-hands-on-deck for evaluation day.
3. Coaches evaluate athletes
On the day, a coach opens the session and taps an athlete to open the evaluation screen:
- Each skill shows a status chip. Tapping it cycles through Not Assessed → Working On → Achieved.
- The athlete's current level and progress to the next level are shown at the top.
- Use "Save & Next Athlete" to move through the group quickly.
The screen is built for tablets and phones and works offline — assessments sync back automatically when you're reconnected.
4. How levels are calculated
An athlete's level is worked out automatically: it's the highest level where every required skill is marked Achieved. It recalculates each time a coach saves an assessment, so the level badge is always up to date. Advanced (non-required) skills never affect the level.
5. Place athletes into teams
After the tryout, the admin opens the placement page:
- Open the tryout session and click Place athletes
- You'll see everyone who was evaluated — pulled together across that tryout and any related or recent tryout sessions, de-duplicated so each athlete appears once
- For each athlete, pick an outcome:
- Place in a team — age and level-appropriate teams are suggested, or pick another
- Backup — flag for a backup/reserve team
- Waitlist — no team yet, status set to Waitlist
- Decline — status set to Inactive, with a reason
- Confirm the outcomes
What confirming does
When you confirm placements, for each athlete placed in a team:
- The athlete is linked to the team and their status becomes Active
- An initial payment is generated if the team has a monthly fee
- A welcome email can be sent to the guardian with the team details
- Everything is recorded in your audit log
Tips
- Run several tryout sessions across a month (by age or level) — placement merges everyone's assessments so you can place from the full picture.
- Coaches can pre-mark skills an athlete can already do, even above their current level, so nothing is missed.
- Use the club-wide self-signup link to collect prospects before a tryout, then invite them in.
