Teams & Groups

Teams hold your athletes. Groups organise your teams. Together they form your club structure.

Teams

Each team has a name and, optionally, a group, an age range (or birth years, depending on how your club sorts age groups), a skill level and a monthly fee. Athletes are assigned to teams, and sessions are created for teams.

An athlete can belong to multiple teams (crossover athletes). This is common for athletes who train with both a recreational and competition team. They pay each team's monthly fee unless you give them a single monthly price. See Crossover pricing and custom fees.

To move an athlete from one team to another, open the team and choose Move to another team; the parent is emailed about the move, and the same goes for the optional email when you remove an athlete from a team, unless they haven't had your club's welcome email yet, in which case they get the club welcome instead once you've sent club welcomes from the dashboard, and nothing until then. The move or removal itself goes ahead either way.

Creating a team

Go to Teams in the sidebar, click Add Team, and fill in the details: Team Name, Team Group, the age limits (or birth years), Skill Level and Monthly Fee. Leave the fee empty if the team has no recurring fee. You can also choose whether the team shows on your public website and whether parents can ask to join it. The age limits are important — they're used to suggest the right team when new athletes join.

Groups

Groups let you organise related teams together. To manage them, click More in the sidebar (or press Ctrl+K / Cmd+K) and choose Groups, then use Add Group. Put a team in a group by choosing it under Team Group on the team. For example:

  • "Under 8s" group containing "U8 Rec" and "U8 Comp" teams
  • "Competition Teams" group containing all comp teams across ages
  • "Saturday Squads" group for all teams that train on Saturdays

What groups enable

  • Bulk messaging — In Inbox, choose Mass email and pick Team groups to write to the parents of every team in the groups you choose
  • A reference fee — A group can store a Default Monthly Fee, which is shown on the group. It isn't applied to the teams or to billing, so set each team's Monthly Fee on the team itself
  • Uniform details — Add a Uniform Description and a link to the supplier's website for the group. Kolva doesn't track uniform costs
  • Organisation — Each team shows its group as a badge, and you can filter the Teams list by group as you grow
