Frequently asked questions
How does the 0.75% platform fee work?
Our 0.75% fee is charged on top of the payment processor's fee (Stripe or GoCardless). For example, if you collect £100 via card, Stripe charges 1.5% + 20p (£1.70), and we charge 0.75% (£0.75), totaling £2.45. This is still well below competitors who charge 1-2% on top of processor fees.
Is there really no subscription?
Correct! There's no monthly fee, no per-athlete charges, and no feature tiers. Every club gets access to all features — AI commands, messaging, payments, everything. You only pay the 0.75% platform fee when parents pay you.
Why is it free? What's the catch?
No catch. We make money from the 0.75% fee on payments. If your club collects £30,000/year, that's £225 to us. We think that's fair — you only pay when you get paid, and you get a full-featured platform in return.
How does UK Direct Debit work?
Direct Debit via GoCardless is perfect for recurring monthly fees. Parents set up once and payments are collected automatically. The GoCardless fee is 1% + 20p per transaction (capped at £4), plus our 0.75% platform fee. Much cheaper than card payments for regular fees.
Can I use it for a small club?
Absolutely! Whether you have 10 athletes or 500, you get the same features. There are no athlete limits and no restrictions based on club size.
How do I get started?
Just create a free account — no credit card needed. Add your athletes and teams, invite your coaches, and you're ready to go. You can start collecting payments whenever you're ready.
What about competition and trip fees?
Competition entry fees, trip deposits, and other supplier costs are handled as disbursements — separate from your regular club subs. You can split costs across team members and collect them via the parent portal, with the same 0.75% fee.
Can I track staff certifications like DBS?
Yes! Kolva tracks DBS checks, First Aid certificates, coaching qualifications, and any custom certification types you need. Upload a PDF and AI extracts the details. You get automatic alerts before certificates expire.
Is it really GDPR compliant?
Fully. Parents can export all their data (Article 15), request deletion with a 14-day cooling-off period, and manage their consent preferences. Every data access is audit-logged, policies are versioned with acceptance tracking, and medical consent can be withdrawn at any time.
