Invite Parents

Parents need accounts to see schedules, pay fees, and receive messages. There are several ways to get them onto the platform.

Option 1: Add athletes manually

The simplest way for existing members. When you add an athlete with a parent email address, the parent automatically receives an invite.

  1. Go to Athletes in the sidebar
  2. Click Add Athlete
  3. Fill in the child's details (name, date of birth)
  4. Enter the parent's name and email
  5. Assign to a team
  6. Click Save

The parent receives an email inviting them to set a password and access the parent portal. If a parent already has an account (e.g. they have another child at your club), the new athlete is automatically linked to their existing account.

Option 2: CSV import

If you have a spreadsheet of members, you can bulk import them. This is the fastest way to migrate from another system.

  1. Go to Athletes → Import
  2. Upload your CSV file
  3. The AI maps your columns to the right fields (it handles different column names like "DOB", "Date of Birth", "Birthday")
  4. Review the mapping and fix any issues
  5. Click Import

All parents in the import receive invite emails automatically. See the CSV Import guide for full details.

Option 3: Public taster signup

For new members coming through taster sessions. You create a taster session with a public signup link, share it, and parents register themselves.

Option 4: Join requests

Parents can request to join your club through your club's public page. You review and approve requests from the Join Requests page in the sidebar.

What parents see

Once a parent has set their password and logged in, they land on the Parent Dashboard where they can:

  • See their children and which teams they're in
  • View upcoming sessions for the next 2 weeks
  • See outstanding payments and pay with card or Direct Debit
  • Read messages from the club
  • Upload requested documents (medical forms, consent forms, etc.)
  • Browse and order from the club shop
  • Request absences for their children
  • Manage privacy settings (photo consent)

Tips

  • Families with multiple children only need one parent account — all children are linked to it
  • Parents can save payment methods for future auto-charging
  • If a parent says they didn't get the invite email, you can resend it from the athlete's profile
  • The parent portal is mobile-first and works as a PWA (they can add it to their home screen)
