Public Signup Links

Any session you make public gets a link that anyone can use to sign up — no account needed. It's how taster sessions, tryouts and one-off paid sessions take bookings.

How they work

When you create a session, a switch on the form makes it a Public Session or a Private Session. Kolva generates a unique link for each public session, like kolva.club/s/u8-taster-april-12-lq3x7k (the session name followed by a short code).

The switch is on by default for Open sessions and Tryouts.
It is off by default for Workshop, One-Off and Holiday Camp sessions. Switch it on if you want a public link for one of them.
Courses are public by default. Switch it off to keep a course invite-only.

You can copy the link as soon as you save the session. A private session has no link and is only for assigned team members.

The signup page

The public page shows:

Session title, date, time, and venue
Price (if any)
Available spots and a capacity bar (unless you chose to hide availability)
Your club's branding (logo and colours)
A registration form for the parent to fill in

Sharing the link

Share the link wherever parents might find it:

Social media (Facebook, Instagram)
Your club website
WhatsApp groups
Flyers and posters (as a QR code)
Email to prospective parents

What happens when someone signs up

Parent fills in the athlete's and their own contact details
If there's a price, they pay by card (Stripe). If your club has GoCardless connected as well, they can choose to pay by bank instead
A confirmation page shows session details with an "Add to Calendar" button
A confirmation email is sent
The athlete appears as a Prospect in your athlete list

A paid session needs a connected payment provider. If you haven't connected one in Settings → Payments, the page tells parents that online payment isn't available and they can't book.

Capacity

If you set a capacity on the session, the signup page shows remaining spots. Once the session is full, the page shows "Full" and the registration form can't be submitted.
